Campus & Environment

Examination Centre & Campus

The Examination Campus refers to the entire premises designated for conducting examinations, including all entry points, corridors, classrooms, waiting areas and support facilities.

The Centre must be physically safe, guarded and monitored to prevent unauthorized entry or malpractice. Only authorised staff, invigilators and registered candidates are permitted to access the examination zones.

All Centres must maintain a healthy, inclusive and safe environment for students and staff - ensuring cleanliness, accessibility, non-discrimination and compliance with local safety regulations.

Entry & Conduct Regulations

The Centre Head must ensure that no student enters the examination hall without proper verification and adherence to the prescribed code of conduct.

  • Correct Hall Ticket for the respective examination and date.
  • Photograph on the Hall Ticket clearly matches the candidate.
  • No prohibited materials (mobile phones, smart devices, notes, books, calculators unless permitted, or any electronic gadgets).
  • Frisking by same-gender staff may be conducted where required, in a respectful and discreet manner.
  • No harassment, intimidation or undue pressure is permitted during security checks.

Centre Infrastructure

Infrastructure Requirements

  • Clean and safe drinking water facilities for candidates.
  • Separate, hygienic washrooms for all categories of users.
  • First-aid box and prompt access to a medical practitioner or nearby clinic.
  • Clean, adequately ventilated and well-lit examination rooms with proper seating.
  • Reliable backup power facility for uninterrupted conduct.
  • CCTV installation and recording in all critical areas (excluding washrooms), retained as per policy.
  • Clearly visible display boards, signage and seating plans for each examination room.
  • A feedback and grievance register for candidates and staff, to record issues and improvements.

Governance & Roles

Examination Centre Board (ECB)

The Examination Centre Board (ECB) is responsible for the end-to-end conduct of examinations at the Centre, ensuring strict adherence to Cognia-aligned standards, NWAC regulations and institutional policies.

Constitution of the ECB

The ECB must be led by a Chief / Examination Centre Head who:

  • Owns, manages or is a legally authorised representative of the Centre facility.
  • Has prior, recognised experience in examination conduct or school administration.
  • Demonstrates uncompromised integrity and commitment to ethical standards.
  • Is physically and operationally capable of overseeing examination activities and crisis situations.

Appointment of ECB Members

ECB Members must be formally appointed and oriented to their responsibilities before the examination schedule begins.

  • Members receive an official Letter of Appointment from the authorised body.
  • A signed Letter of Acceptance must be submitted within 7 days of issuance.
  • Members must be present on all examination days and remain available for pre- and post-exam duties.
  • All Examination Byelaws, circulars and directives must be followed strictly without exception.
  • Members should report at least 1 hour before the scheduled start of each examination.

Before the Exam

Pre-Examination Responsibilities

  • Prepare and inspect the entire facility at least 24 hours in advance of the examination.
  • Ensure question papers, answer booklets and other sensitive materials are stored in secure, access-controlled locations.
  • Confirm that CCTV cameras, power backup and all equipment are functional and recording as required.
  • Display seating plans, exam timings and important announcements at prominent points in the Centre.

Inside the Hall

Examination Hall Regulations

  • Seat numbers and candidate lists must be clearly displayed outside each examination room.
  • The candidate's Hall Ticket must remain on the desk and be visible throughout the examination.
  • No unauthorized materials, devices or external aids are permitted at any time inside the hall.
  • Invigilators may conduct random compliance checks without disturbing the examination environment.
  • Special seating, additional time or other approved arrangements for students with specific needs must be implemented discreetly and respectfully.
